Primary responsibilities include performing administration support such as scheduling meetings, running and preparing standard and ad hoc reports, database entry, attending designated meetings and taking meeting minutes, creating and updating spreadsheets, preparing presentations, organizing department operations and filing systems, preparing e-mails/memos/letters/presentational materials and assisting with other duties as assigned. This position serves as a communication liaison for employees of the UW Health system and the Clinic Operations Employee Health/Infection Control department. This position works independently and completes work with minimal supervision. Work Schedule : This position is part-time, 30 hours per week, 8 hours between the hours of 7:00 AM - 5:00 PM. Additional hours could be required to assist with department operational needs. UW Health offers a competitive compensation and benefits package. Associates degree in an administrative professional program or related (work experience will be considered in lieu of educational requirement). 2-3 years administrative support experience or equivalent, preferably in Healthcare. Ability to work independently, be self-directed, and prioritize workload to complete tasks and operations related projects with minimal direction. Ability to address needs, make improvements, and work proactively. Attention to detail; organization, and thoroughness required. Ability to prioritize work effectively and efficiently, and to make appropriate and timely decisions. Proficient in Microsoft Word and Excel required. Working knowledge of appointment scheduling and database entry preferred. Ability to collect, review, and input data into electronic processing system or application. Ability to extract data from electronic applications and systems for departmental operations and decisions. Excellent customer service abilities. Ability to establish and maintain effective working relationships with coworkers, interdepartmental contacts and the general public. Knowledge of medical terminology highly desirable. Must be flexible to work in a fast paced environment with changing deadlines and project timetables. Experience with multi-line phone systems, copiers, scanners, fax machines, printers. Ability to work with confidential information. Excellent verbal and written communication skills. Professional demeanor and ability to work as a member of a team. Maintain a positive attitude, and be willing to offer and receive feedback as needed to support Employee Health/Infection Control's ability to meet goals. Valid WI Driver's license. Must have reliable transition to allow for travel up to 25% of the time.
